How to Buy Chinese Truck Parts from China: From Inquiry to Dispatch

A successful parts inquiry keeps identification and commercial decisions connected. Start with a reviewed list, keep substitutions visible and agree the scope of the offer before arranging an order. This workflow gives a distributor or workshop a practical record to work through with a supplier.

1. Prepare a list that can be checked

Use one part per line. Include a stable line ID, requested number, description, quantity, unit and relevant vehicle or assembly details. Mark numbers that are unconfirmed. Attach photographs using the same line IDs.

For mixed-brand orders, avoid combining several different parts into a vague “set” unless its contents are specified. Save the original list and a separate reviewed version so changes remain traceable.

2. Review the supplier's proposal line by line

Ask the quotation to preserve your line IDs and show the offered manufacturer, number and supply option. Record unresolved application questions and any proposed substitute. Check whether a kit contains all of the components you requested.

Compare currency, unit price, minimum quantity, availability and estimated timing on the same basis. An estimate should remain labeled as an estimate until the supplier confirms the conditions for that offer.

3. Agree inspection and packing evidence

Before ordering, specify what evidence you expect: item-label photographs, quantity checks, agreed dimensions or a competent inspection where the application requires it. Confirm whether inspection has an additional cost and who approves the outcome.

Agree how line IDs will appear on packages or packing records. For consolidation, clarify when the individual items are ready and which missing lines would hold up dispatch. This guide does not promise that LAIYI provides every inspection or logistics service.

4. Clarify delivery responsibilities

Write down the delivery term and named place, transport arrangement, document responsibilities and which costs are included in the proposal. ICC publishes the Incoterms rules and a selection checklist; use the agreed rule and its official guidance rather than treating a short abbreviation as a complete explanation.

Confirm destination requirements with the parties handling transport and import. Do not treat a catalog page or this checklist as a confirmed landed-cost quotation.

5. Keep a final order record

Retain the accepted quotation, reviewed parts list, agreed inspection evidence and dispatch documents. Before release, check changes against the last accepted version. Keep supplier and buyer contact details in the inquiry record rather than public comments.
